Members and RFP access
A workspace is your company’s standing team. Members share the company Library. Each RFP has its own audience: All workspace members or Selected members. Private chats and personal tool connections stay with their owner.
Invite a company member
- Check the workspace name at the top of the sidebar, then open Members.
- Choose Invite member. Only workspace administrators can invite.
- Enter the person’s email, check the named workspace, and choose Send invitation.
An invitation email does not prove the person has joined. Members shows pending, accepted, expired, and revoked invitations. Use the existing invitation’s menu to resend or revoke it. If delivery is uncertain, resume the saved change to check its result before sending again.
The recipient opens the email link, signs in or creates their account, and joins the named workspace. They can access RFPs open to workspace members once membership synchronization completes. Restricted RFPs require a direct assignment. If access is not ready, ask an administrator to open Members and Sync members.
Someone whose workspace access was removed cannot be restored through the invitation form. An administrator must review the existing membership before restoring access.
Choose an RFP audience
Open the RFP, then choose RFP access in its sidebar. This changes access for people already in your company; it does not send an invitation email. Review Who can access this RFP?:
- All workspace members: all current and future active company members can view and edit this RFP. New membership may take a few minutes to sync.
- Selected members: add company members individually. Workspace administrators and any other inherited grants keep their permissions.
Changing the audience shows a confirmation explaining its effect. Switching to Selected members removes workspace-wide access and preserves direct assignments and other inherited grants. Review the effective access and its sources before confirming. Existing RFPs keep their current direct grants until an explicit access change.
Choose Add people to open Add workspace members. Find the active company member, open their access menu, and choose Can view, Can edit, or Can manage. Review the named person and permission, then choose Save RFP access. Wait for the saved result and check their effective access in the list.
Can manage permits editing this RFP and managing its audience and assignments. It does not make the person a workspace administrator. Invite new company members from Members first, then add them to a Selected members RFP after they join. Joining the workspace alone does not add them to that restricted RFP.
The access list shows effective permissions and their source. A direct Can view assignment cannot subtract editing or management granted by workspace access, an administrator role, or another inherited grant. Restrict the RFP audience before promising individual restrictions.
Set the default for new RFPs
A workspace administrator can choose Default access for new RFPs in Members. Changing this default affects new RFPs only. Existing RFPs do not change.
Remove access
Remove direct access affects that RFP’s direct assignment. The person may retain access through the workspace or an administrator role; the result tells you when they do.
Remove from workspace, under Members, revokes their outstanding company invitations, deactivates their membership, and removes them from workspace-wide access. Their writing, authorship, and history are preserved. Assign another administrator before removing or demoting the last one. Already open connections recheck access; removal does not promise instantaneous disconnection.
If an access change is incomplete, use Resume change to reconcile its saved intent. An error or unavailable permission service is not a successful grant. Older email-only RFP invitations require administrator review and no longer grant access automatically.
